AppD AI Automation Solutions ("AppD AI", "we", "us", "our") provides a platform that enables businesses to communicate with their customers on WhatsApp and to automate those conversations using artificial intelligence. This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices available to you.
This policy applies to our websites, dashboards, applications, and services (together, the "Services"). By using the Services, you agree to the practices described here.
1. Who this policy covers
- Business customers ("Customers") — companies that create an account on AppD AI to manage their WhatsApp communication.
- End users — individuals who exchange WhatsApp messages with our Customers. For end-user message data, AppD AI acts as a processor/service provider on behalf of the Customer, who remains the controller of that data.
- Site visitors — anyone browsing our public websites.
2. Information we collect
Account information. Name, business name, email address, phone number, billing details, and login credentials when a Customer registers.
WhatsApp Business data. When a Customer connects their WhatsApp Business Account through Meta's official onboarding flow, we receive identifiers and access credentials needed to operate the connection, such as WhatsApp Business Account IDs, phone number IDs, and access tokens, together with message templates and delivery information.
Message data. Messages sent and received through the platform, including text, media, delivery status, and related metadata. This data is processed solely to provide the Services to the Customer on whose behalf it is handled.
Third-party AI credentials. Customers may connect their own accounts with third-party AI providers (for example, for language, speech-to-text, or text-to-speech processing). We store these credentials in encrypted form and use them only to perform the functions the Customer configures.
Usage and device information. Log data, IP address, browser type, pages visited, and interactions with our Services, collected through cookies and analytics tools (including Microsoft Clarity) to improve product quality and detect abuse.
3. How we use information
- To provide, operate, and maintain the Services, including delivering messages between Customers and their end users.
- To power features the Customer enables, such as automated replies, chatbots, and AI-assisted conversations.
- To manage accounts, billing, and support.
- To monitor performance, prevent fraud and abuse, and keep the platform secure.
- To comply with legal obligations and enforce our terms.
We do not sell personal information. We do not use end-user message content for advertising.
4. WhatsApp and Meta platform data
Our Services are built on the WhatsApp Business Platform provided by Meta. Data received from Meta's platforms is used only to provide and improve the Services requested by our Customers, in accordance with Meta's Platform Terms and Developer Policies. We do not use platform data for any unrelated purpose, and we do not transfer it except as needed to deliver the Services, comply with law, or as directed by the Customer.
5. When we share information
- Meta Platforms — to send and receive WhatsApp messages and manage WhatsApp Business assets.
- Infrastructure providers — that host and secure our Services.
- AI providers selected by the Customer — where a Customer connects their own AI provider account, relevant message content is transmitted to that provider to perform the configured function. The Customer's agreement with that provider governs such processing.
- Analytics providers — such as Microsoft Clarity, for aggregated usage insights on our websites.
- Legal and safety — where required by law, regulation, legal process, or to protect the rights, safety, and integrity of AppD AI, our Customers, or the public.
- Business transfers — in connection with a merger, acquisition, or sale of assets, subject to this policy.
6. Data retention
We retain account information for as long as the Customer's account is active and as needed for legal, tax, and audit purposes. Message data is retained according to the Customer's configuration and our operational requirements, after which it is deleted or anonymised. When a Customer terminates their account, associated data is deleted within a reasonable period unless retention is required by law.
7. Security
We apply industry-standard safeguards, including encryption of data in transit, encrypted storage of access credentials and API keys, role-based access controls, and continuous monitoring. No system is completely secure; we encourage strong passwords and prompt reporting of any suspected compromise.
8. Your rights
Depending on your jurisdiction, you may have rights to access, correct, delete, or port your personal data, and to object to or restrict certain processing. Residents of India have rights under the Digital Personal Data Protection Act, 2023; individuals in the European Economic Area have rights under the GDPR.
End users should direct requests concerning message data to the business they communicated with, as that business controls the data. We will assist our Customers in honouring such requests.
9. Data deletion
To request deletion of your data, follow the instructions at appd.ai/data-deletion or write to us at next@appd.ai. We will verify and action valid requests within the timelines required by applicable law.
10. Cookies
We use essential cookies for authentication and session management, and analytics cookies to understand how our websites are used. You can control cookies through your browser settings; disabling essential cookies may affect functionality.
11. Children
The Services are intended for business use and are not directed at children. We do not knowingly collect personal data from anyone under 18. WhatsApp's own minimum-age requirements also apply.
12. International transfers
Our Services use global infrastructure. Where personal data is transferred across borders, we use lawful transfer mechanisms and contractual safeguards appropriate to the jurisdictions involved.
13. Changes to this policy
We may update this policy from time to time. Material changes will be notified through the Services or by email. The "Last updated" date above reflects the latest revision.
